Agencies typically run on a patchwork: one tool for projects, another for invoicing, a file service for documents, email for clients, and a spreadsheet holding it together. We built a single platform with three role-based portals on one shared data layer, covering the full client lifecycle from onboarding to invoicing.

The challenge
Agencies and independent firms run on disconnected tools: project management in one place, invoicing in another, documents in a file service, client communication in email, and a spreadsheet tracking all of it.
Clients have nowhere to check progress, review deliverables, or find an invoice. The team context-switches constantly, the status emails never stop, and the client experience feels fragmented even when the work itself is good.
The solution
- A client portal giving clients a branded space to see project progress, download documents, message the team, and review invoices.
- An admin portal holding full operational control: client records, project creation, invoicing, document organisation, and team oversight.
- A team portal giving staff focused views of assigned work, project context, and internal communication.
- A shared data layer linking every entity, so a project, its documents, and its invoice are one connected record.
- Permissions that decide which portal surfaces what, from the same underlying data.
